Event Checklist

Before the Event
  Select the MicroModule you would like to host.  Either host by yourself or host with a buddy.  
  Select a date (3 weeks out) and invite your colleagues to join you. Ask them to invite others.  Adapt from the invitation letter that accompanies the MicroModule that you have chosen.  Require RSVPs so you can control group size and include really, really specific directions to your home, along with parking guidelines.
  Listen to the RealAudio of the Host Training that MicroModule and/or read the transcription.
  Download/print worksheets and host guide for that module.
  Work the exercise/steps yourself to get a feeling for it.  Fill in the worksheet(s).
  If you feel that you need a 'resident expert' on this topic to join you please invite them.
  Like the airlines, overbook your event; assume a 20% no show factor.  Note that some hosts prefer the 5 to 7 range of attendees; others prefer a larger group.  Generally, the smaller the group, the more intimate; the larger the group, the more exciting.
   
3 Days before the Event
  Email out a reminder to your network and/or to the folks who have RSVP'd.
   
Day of Event
  Prepare your living room/event room.  Remove breakables.
  Download the RealAudio file and set up your computer to play it loud enough.
  Print out enough copies of the PDFs for everyone.
  Print out several CoachVille new member registration forms, just in case.  Enter your affiliate number on these forms, for credit.
  Have beverages available (no alcohol, please)
  Have supplies ready (name badges, pens, paper)
  Be ready an hour before the event so you can relax and enjoy folks as they arrive.
  Welcome and introduce all newcomers to the group.  Help each person find a place to sit and let them know where the bathroom is.
   
Event Agenda
  Welcome everyone.  Give everyone the title/focus of the night's focus.  If you are nervous, say so.
  Mention CoachVille and your role as a Host.  Offer to answer questions about joining CoachVille for anyone who isn't a member and make it clear that they are most welcome to come back whether they become a member of CoachVille or not.  Make new folks feel especially welcome  Go out of your way.
  Introduce material.  Use intro comments from the PDF.  Explain why you chose this topic for the group (short, personal story)
  Play the  RealAudio introduction
  Discuss/break into small groups/pair up.  Give clear instructions and identify the objective and outcome so everyone understands.
  Wrap-up discussion.  Go around the room and have everyone share at least one thing they learned or enjoyed about the exercise.
  Announcements/networking/q&a
  Thank your guests; ask for preferences for next topics, share dates of next meeting and invite back
